How your earnings are calculated

Overview

Your earnings as a promoter are not instant cash or simple estimates. They follow a strict validation process based on verified attendance.

Crowdstack contracts you as an independent supplier. You invoice Crowdstack for approved work. The system turns evidence of guest check-ins into reviewable earnings, then payable invoices.

The calculation journey

Your earnings move through specific states before they become payable:

  1. Estimated: Registrations and check-ins accumulate as evidence. These figures show potential value but are not yet payable money.
  2. Under review: When an event ends, it enters a closeout window. Crowdstack and the organiser review exceptions and validate performance.
  3. Approved: Once the performance snapshot is locked, your earnings are approved based on the campaign terms you accepted.
  4. Awaiting invoice: You must submit an invoice or accept a self-billing document for the approved amount.
  5. Payable: After invoice approval, the amount becomes a formal debt owed by Crowdstack to you.
  6. Paid: A business-payment provider executes the transfer to your nominated destination.

Exceptional states may occur during this process. Earnings can be adjusted or rejected during review. Invoices may be rejected if changes are required. Payments can fail during processing or be reversed only through a compensating record.

What drives the numbers

Your final earning amount depends on factors defined in your campaign engagement:

  • Verified arrivals: The primary metric is the number of guests who actually attended and were checked in at the door using your attributable link.
  • Campaign terms: The rate per head, fixed fees, thresholds or bonuses agreed upon when you accepted the campaign.
  • Table commission: If enabled in your campaign, approved table spend may generate additional commission.
  • Adjustments: During closeout, valid exceptions may lead to manual adjustments. Rejected claims will reduce the total.

Fees and costs

Crowdstack charges the organiser a service margin on the managed promotion. This margin is separate from your earnings.

Processor fees, foreign-exchange costs and payout provider charges are defined separately. They are not silently deducted from your approved supplier amount. Your invoice reflects the gross amount agreed in the campaign terms, subject only to valid performance adjustments.

Some campaigns may use organiser direct settlement. In these cases, payment is due directly from the organiser after your invoice is approved, rather than through Crowdstack's standard payout batch. Crowdstack does not process these payments.

Viewing your status

You can track the progress of your earnings in the Earnings section of your promoter dashboard. This view clearly distinguishes between:

  • Estimated amounts still under review.
  • Approved amounts awaiting your invoice.
  • Payable amounts ready for transfer.
  • Historical payment records.

Never treat estimated figures as guaranteed income. Only amounts marked as Payable represent confirmed funds awaiting transfer.
