Overview
Crowdstack normally manages promoter payments as part of a managed promotion campaign. In this standard model, Crowdstack validates attendance, accepts your invoice and pays you directly.
Some organisers on the Organizer Pro plan prefer to settle payments with you directly, outside of Crowdstack's managed payout system. If your organiser chooses this method, you will receive your agreed fee from them rather than from Crowdstack.
When direct payment applies
Direct payment is only available when:
- The organiser's workspace is subscribed to Organizer Pro.
- The organiser has enabled direct settlement for their campaigns.
- You have accepted the campaign engagement terms which specify direct payment.
Under this arrangement, Crowdstack does not send, hold or guarantee the payment. The organiser is responsible for transferring the funds to you according to your private agreement.
Your responsibilities
When working under a direct settlement agreement:
- Agree terms privately: Confirm the rate, payment timeline and method directly with the organiser before the event.
- Track performance: Use your promoter dashboard to monitor attributable registrations and confirmed check-ins. These figures provide the evidence base for your invoice, even though Crowdstack is not processing the transfer.
- Submit your invoice as usual: You still submit your invoice in Crowdstack once the campaign closes out — the approved invoice is what the organiser records their payment against.
- Check your earnings: Once the organiser records the payment, the engagement shows Paid directly by organiser in your earnings.
Fees and charges
Even when you are paid directly by the organiser, Crowdstack may apply a direct settlement service fee to the organiser's workspace. This fee is typically 2.5% of the approved supplier amount.
- This fee is charged to the organiser, not deducted from your earnings.
- You receive the full amount agreed upon with the organiser.
- Processor, foreign-exchange and bank costs remain the responsibility of the payer unless you agree otherwise.

Support and disputes
Because the financial transaction occurs outside Crowdstack's ledger, our operations team cannot intervene in payment disputes regarding direct settlements.
If an organiser fails to pay you under a direct settlement agreement:
- Contact the organiser directly to resolve the issue.
- Refer to the written terms you agreed upon during the campaign setup.
- Crowdstack can provide verified attendance data to support your claim, but we cannot enforce payment or reverse transactions.
For campaigns where you require payment protection and automated settlement, discuss switching to a managed promotion campaign with your organiser. This ensures Crowdstack validates the performance and handles the payment process for you.
